Position Overview
The Division of Family & Community Services is seeking to hire a high energy, self-motivated team player who can manage multiple tasks, is efficient, detail-oriented, and able to manage and coordinate many tasks in a fast-paced environment. As the secretary to the Region 1 South Regional Office in Cook County your purpose will be to provide administrative and secretarial support to regional staff. The Division helps Illinois residents by connecting them with many programs and services. Through our programs, services and prevention efforts, the Division improves the health and well-being of individuals and promotes self-sufficiency and integrity of families of Illinois.
Job Responsibilities
- Serves as support to the Regional Office Administrator and Assistant Regional Administrator of the Region 1 South Administrative Office.
- Performs a variety of administrative staff support functions.
- Maintains files of correspondence, statistical reports, memoranda and customer inquiries.
- Receives and directs visitors for Region 1 South Administrative Office.
- Monitors receipt of manual releases/memoranda and updates assistance program manuals, maintains and updates administrative manuals when new releases are received.
- Follows oral and written instructions.
- Serves as backup timekeeper; enters daily attendance sheets in the computerized payroll system.
- Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
- Requires knowledge, skill, and mental development equivalent to two (2) years of secretarial/business college,
OR
Completion of high school and two (2) years of related office experience,
OR
Two (2) years of independent business experience.
2. Requires ability to keyboard accurately at 30 wpm.
