Office Support Staff Job Description

Discover Austin, MN is a non-profit organization. Our mission is to promote tourism for the Austin area to enhance the economy of the community.

We are currently looking for a Office Support Staff.

Responsibilities include:

~Welcoming visitors

~Organizing Files

~Creating Newsletters

~Maintaining Calendar of events online (wordpress)

~Build/maintain relationships and communicate with Austin’s tourism community

~ Other duties as assigned by Executive Director

Part-time, wage will be dependent upon qualifications

Overall Responsibilities:

  • Promote Austin as a tourism destination
  • Build and maintain relationships with Austin’s tourism community including attractions, hoteliers and restaurants
  • Support marketing plan, assisting director with mix of advertising, promotions, direct mail, trade shows and social media
  • Follow state and regional tourism trends and keep Austin on the leading edge in attracting tourists
  • Visit the EMT industry website monthly for leads
  • Read tourism industry publications, books and resources, and Explore MN Tourism email updates to keep current with latest news and travel trends
  • Answer/return phone calls and emails in a timely manner
  • Build and maintain relationship with group travel planners and others in the tourism industry
  • Keep informed of events and activities involving the CVB and the Austin Community.
  • Build and maintain relationships with conventions, meetings, reunions, tournaments fit for Austin
  • Host travel groups and conduct tours of the city
  • Coordinate community events that build Austin’s brand and/or attract visitors to the city
  • Prepare welcome bags as requested
  • Schedule and host tours by leisure travelers, school field trips, senior citizens groups and others.
  • Help distribute Austin promotional materials locally, around state, TIC’s, CVB’s, Chambers, Visitor Centers, etc..
  • Initiate sales calls to travel operators
  • Prepare timesheet bi-monthly for Executive Director
  • Prospect to potential conventions/groups to come to Austin. Prepare site tours and proposals
  • Enter all group, tour and travel, convention corresponds into database in timely manner
  • Meet with community partners to plan and carry out events
  • Assist with ad design as needed
  • Attend tradeshows as directed
  • Share Cleaning Duties
  • Be familiar with office policies, procedures
  • Coordinate, design and complete itineraries for visitors in timely and organized manner
  • Maintain a positive imagine for the ACVB
  • Build databases as requested
  • Prepare bulk mailings as requested
  • Follow up for all groups for return visit in future
  • Participate in the CIA program
  • Organize personalize greeting for each group
  • Prepare contracts for each group
  • Prepare billing invoice for each group
  • Complete payout sheet for each group and give to Executive Director within 48 hours of group payment
  • Handle other duties as assigned by Executive Director
