Job description
The Patient Scheduling Specialist at Alleviant Health Centers will speak directly with patients or outside referrals sources to assist with scheduling patients for intake or rescheduling their next appointment. Responsibilities include answering phones, gathering patient demographics, insurance information, explaining to the patient their insurance benefits and patient responsibility for the services that will be rendered by Alleviant providers on their appointment date and processing payment in the EMR to the patient’s account. Intake must balance their payments at the end of each day for each location they scheduled appointments for and processed payment. Facility work hours are 8AM-5PM. Essential Job Functions- Answer and return high-volume inbound calls in a timely and professional manner.
- Schedule appointment for patients and complete demographics according to policy and procedure.
- Follow up with referral sources with updates on referrals sent.
- Take patient insurance information and process payments correctly.
- Develop personal organization and multitasking skills in a fast-paced environment
- Maintain strictest confidentiality; adhered to all HIPAA guidelines/regulations.
- Organize and prioritize all work to ensure that all clients were taken care of.
- Provide support to other staff as necessary.
- Maintain a polite and professional telephone manner.
- Conduct follow up calls on patients according to policy and procedure
- Confirm patient appointments.
- Coordinate with referral sources
- Other duties, as assigned.
- Requires ability to work under stressful situations demanding high concentration and energy level.
- High School Diploma required (or equivalent).
- Basic Understanding of mental health or behavioral health is a plus
- Bilingual candidates preferred
- Experience in a medical office setting required.
- Insurance and patient benefits knowledge required.
- Determining patient responsibility required.
- Previous experience processing patient payments required.
- Previous experience managing multiple providers’ schedules required.
- Understanding of HIPAA guidelines and policies
- Understanding of documentation as it pertains to the healthcare industry
- Ability to work with a diverse population of people
- Proficient in Microsoft Office (Word, Excel, Power Point, Etc.) as well as an understanding of email and attachments. Strong typing and computer application skills. Able to operate computer, telephone, copier, fax and other basic business machines.
